Damaged Goods, Shortages, and Transit Returns



1. Delivery Terms & Transfer of Risk

Ex-Factory/FOB Shipments: Where the Distributor arranges their own logistics, the risk of transit damage, contamination, or loss transfers entirely to the Distributor the moment the vehicle leaves the loading docks of Agro Chem Research & Seeds Processors.

FOR (Free on Rail/Road) Shipments: Where freight is managed and prepaid by Preeti Bhoj Foods, the brand retains responsibility for the inventory until it physically reaches the designated unloading bay of the Distributor's verified warehouse.



2. Mandatory Inspection Window

The Distributor must thoroughly inspect the physical condition, seal integrity, and SKU count of the outer bags/crates immediately upon arrival.

Any structural damages, bursts, moisture dampness, or quantity shortages must be physically noted on the Proof of Delivery (POD) or Lorry Receipt (LR) copy before the transport vehicle is released.



3. Claim Reporting Window & Evidence

• Timeframe: All claims regarding transit damages or shortages must be officially filed with Preeti Bhoj Foods via email (agrochemrsp@gmail.com) within 48 hours of stock delivery.

• Evidence Requirements: To process a claim, the Distributor must provide:

  1. A clear copy of the signed POD/LR detailing the specific damage remarks.
  2. Unloading video footage or high-resolution photographs showing the specific damaged bags, batches, and visible seals.
• Claims submitted without written remarks on the POD or beyond the 48-hour window will be considered void, and the delivery will be legally deemed complete and accepted in perfect condition.



4. Compensation and Resolution Protocols

• No Direct Cash Refunds: Preeti Bhoj Foods does not issue direct cash or bank refunds for verified transit damages.

• Credit Notes: Upon verification of the submitted evidence by our logistics team, a Credit Note (CN) matching the exact value of the damaged stock will be issued to the Distributor within 7 business days. This credit note will automatically adjust against the invoice of the Distributor's next purchase order.

• Stock Replacement: Alternatively, at the absolute discretion of Preeti Bhoj Foods, the company may choose to replace the damaged stock free of cost in the subsequent dispatch cycle.



5. Product Expiry & Market Returns

• Because our premium grains, flour (Atta), pulses, and daliya are packed without synthetic chemicals or chemical preservatives to maintain purity, they carry a natural shelf life.

• Distributor Responsibility: Distributors are strictly required to operate on a FIFO (First-In, First-Out) or FEFO (First-Expired, First-Out) inventory management model.

• Non-Returnable Items: Preeti Bhoj Foods will not accept returns, issue credit notes, or exchange stocks for products that expire due to slow market movement, poor local warehousing conditions, or improper FIFO tracking at the distributor's end.
